1. Cavabdeh şəxs

4. Göndərmə: tətbiq parolu və cavab izləmə

Məktublar sayt üzərindən sənin öz e-poçt ünvanından gedir. Əsas yol — tətbiq parolu. "Google ilə bağla" (b) hazırda yeni bağlantılar üçün bağlıdır; əvvəl bağlananlar işləməyə davam edir. Hesab ilk bağlanan ünvana ömürlük bağlanır.

5. Süni intellekt (Anthropic Claude; ehtiyat — Google Gemini)

"Məktub yaz" basanda (həmçinin xatırlatma məktubu, "Cavabı başa düş", zəng skripti, Premium-da klinikaya cavab məktubu, müsahibəyə məşq, CV-ni almanca doldurmaq, motivasiya məktubu və müsahibə hazırlığı üçün) mətn əsas olaraq Anthropic Claude API-yə göndərilir. Claude müvəqqəti cavab verməsə, eyni mətn ehtiyat olaraq Google Gemini API-yə gedə bilər. Göndərilənlər:

"Modelə nə gedir?" düyməsi göndəriləcək mətni API çağırmadan tam göstərir. Anthropic API-yə göndərilən məlumatla modellərini standart olaraq öyrətmir.   • No advertising, no analytics tracking, no sale of data.
  • One strictly necessary cookie — to keep you signed in and your account secure.
  • Letters go out from your own email with your mail provider's app password (stored encrypted); every email is sent by your own explicit click.
  • Your mailbox is not read. Only if you turn on automatic reply tracking do we read replies from the clinics you wrote to through Clinomad — nothing else in your mailbox is touched, and no message text is stored.
  • Your name, email address and phone number are not sent to the AI model.
  • Doctors' email addresses are never shown in full, not even to you — they are used only for a personal letter sent in your name.
  • You can delete your account yourself at any time — it can be restored within 30 days, after which profile, CV files and everything else are deleted permanently.

1. Controller

Clinomad is a web service that helps medical students find hospitals, departments and contact addresses for clinical traineeships in Germany (Famulatur, Hospitation, PJ), prepare letters and CVs, send them and track what they have sent.

We do not use your data for advertising, profiling or sale.

4. Sending: app passwords and reply tracking

Letters are sent via the site from your own email address. The main option is an app password. "Connect with Google" (b) is currently closed for new connections; existing connections keep working. An account is bound for life to the first address connected.

a) App password (Gmail, Yandex, Mail.ru, Outlook). We store your email address and the app password issued by your mail provider, encrypted with AES-256-GCM. Your main password is never requested, and the app password is never shown back to you. It is used only when you click "Send", to deliver one email to one recipient that you have seen and approved, over an encrypted connection to your provider's sending server (SMTP). Your mailbox is never read. Disconnecting (Account → Sending letters → "Ayır") deletes it immediately; you can also revoke the app password in your provider's account settings.

c) Automatic reply tracking (only with your consent). If you turn it on, we connect to your mailbox with the same app password in read-only mode (IMAP) — automatically every 6 hours, when you open the app and when you click "Check replies". We open only messages from addresses you wrote to through Clinomad (or from the same clinic's domain); other messages are not looked at, and nothing is marked as read, deleted or changed. Message text is not stored: email addresses and phone numbers are removed, the text is sent to the AI for classification (section 5), and only the classification (accepted, declined, documents requested, write later), a short summary, the date and the message's technical ID (so it isn't read twice) are kept in your tracking. Turn it off at any time in Account or Tracking.

b) Gmail (connect with Google).

Clinomad's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. AI drafting (Anthropic Claude; fallback — Google Gemini)

When you click "Write letter" (and for follow-ups, "Understand the reply", the call script and, in Premium, clinic reply drafts, interview practice, or when you let the AI fill your CV in German or generate a motivation letter or interview preparation), text is sent primarily to the Anthropic Claude API; if Claude is temporarily unavailable, the same text may be sent to the Google Gemini API as a fallback. This includes facts about the department (hospital, city, department name, head of department and salutation, focus areas, excerpts from the department's public website; in packages with deep research the model also searches the web about the department, using only department and hospital information) and only the profile fields you allow (university, semester, language level, period, experience, motivation, etc.). With the call script, the hospital and department name, the date you sent your letter and the profile fields you allow are sent (not your name — {{NAME}}). With "Understand the reply" and reply tracking, the clinic's reply is sent too — email addresses and phone numbers are removed first, and the text is not stored on our servers. With deep research (Premium), the public facts found about a department (specialties, centres, research) are kept for 30 days and may also be used in letters of other students writing to the same department; they contain none of your data. Your name, email and phone are not sent — placeholders {{NAME}}, {{EMAIL}}, {{PHONE}} are sent instead and replaced by our server afterwards. Your CV photo and files are never sent to the model. The "What goes to the model?" button shows the exact text without calling the API.

Anthropic does not use API data to train its models by default. On the free quota of the fallback Gemini API, Google may use submitted content to improve its products, and human reviewers may read it (disconnected from the account). Please avoid unnecessary personal information in your profile. This feature is optional — you can write letters from the ready templates without AI.

6. Recipients and processors

Google LLC and Anthropic PBC are US companies and Paddle is based in the UK; data may be processed outside the EU under their data processing terms and standard contractual clauses. We do not sell or otherwise disclose data, except where required by law.

7. Data about hospital staff

Source: hospitals' own public websites. Data: work email, name, title, position or role (e.g. secretary, senior physician), work phone, department. Addresses are never guessed or generated — only published ones are used. Purpose: enabling students to address traineeship requests correctly — legitimate interest (Art. 6(1)(f)). Addresses are never shown to students in full ("m•••@hospital.de"); an address is used on our server only for a single personal letter that a student sends with their own click — there is no bulk sending, which prevents copying of lists and spam. Search results are not stored in a shared database; a contact is kept only in the private memory of a student who saves it or writes to it. Department lists (names, links) are cached for 7 days. 8. Cookies and browser storage

One cookie only: __session (pf_sess in the self-hosted version) — HttpOnly, Secure, SameSite=Lax. It has two parts: the session token (to keep you signed in; valid on our server for 30 days) and a random device ID (to prevent many accounts being created from one browser; the cookie lasts 400 days). Both are strictly necessary; neither is used for advertising or tracking. Browser storage (localStorage) holds no personal data: your chosen language (medstaj_lang), an invite code (medstaj_ref) and a flag that you signed in on this browser before (medstaj_in, so the site opens faster). No analytics, advertising or tracking cookies and no external fonts. The only external script is Paddle.js (checkout and local prices): it loads only when online payment is enabled and you open the pricing section or choose a plan; the checkout is Paddle's own page and may use its own cookies. On the admin page the admin key is kept only in that browser tab's sessionStorage. So the site can work as an app on your phone, a small service worker is registered in your browser; it only caches an "offline" page and stores no personal data.

9. Retention

Account, profile, templates, saved contacts and tracking: until you delete your account, then 30 more days (closed and unused, so you can restore it), then permanently deleted. CV details, photo, CV PDF and uploaded CV: until you delete them in the CV section, or 30 days after account deletion. Sender credential (Gmail token or app password): until you disconnect or delete your account — it is removed immediately on deletion (the Gmail token is also revoked at Google) and reply tracking stops. Sessions: 30 days, or immediately on sign-out, when you remove a device, or when another device signs in. Login networks: 7 days. Sign-up counters (hashes of IP and device ID): IP 24 hours, device 30 days. Hashes of free-letter, sender and sign-up email addresses: while the service operates (the addresses themselves are not kept). Password reset and confirmation links (hash only): 30 minutes / 48 hours or until used. Request counter (IP): 1 minute, memory only. Classifications and summaries of recognised replies, records of positive replies: until you delete your account. Department research (public facts about the department only): 30 days. Notification subscription: until you turn it off, the push service revokes it, or you delete your account. Temporary letter results: at most 15 minutes in server memory. City, hospital and department lists (cache): 7 days. Failed-login counter: 15 minutes. Technical logs: Google Cloud Logging default retention (usually 30 days). Payment records (plan, date, transaction ID, amount): as long as bookkeeping law requires, even after account deletion; Paddle keeps its own records under its own policy. No automatic backups are currently kept — once the 30-day restore period ends, deleted data cannot be restored.

10. Your rights

You can view and correct your data in the app, and delete your account yourself (Account → "Hesabımı sil" / "Delete my account", confirmed with your password) — the account is closed immediately and kept for 30 days, during which you can restore it by logging in with the same email and password; after 30 days the account, profile, CV files, templates, saved contacts and tracking are deleted permanently and the sender credential is revoked. If you want immediate permanent deletion, write to us. You can withdraw consent at any time (disconnect your email, stop using AI features). For a copy of your data, objection or restriction, write to a.kamil0320@gmail.com; we reply within 30 days. You may also lodge a complaint with the data protection authority of your country (in the EU: your national supervisory authority).

11. Security

HTTPS everywhere; passwords hashed with scrypt; session tokens stored only as hashes; Gmail tokens and app passwords encrypted with AES-256-GCM; secrets in Google Secret Manager; CV PDFs generated on our server in an environment without network access, and files served only to their owner; uploaded PDF and Word files are automatically scanned for malicious content (JavaScript, macros, hidden files and programs) — such files are refused and never sent to clinics; no direct browser access to the database; rate limits on login, sign-up, password reset, admin, sending, PDF generation and overall requests; a Content Security Policy lets the browser run only our own scripts and the payment checkout (Paddle).

12. Age, payment, changes

The service is for people aged 18 or over; you confirm this when registering, and accounts of minors are deleted when discovered. Online payments are handled by Paddle (section 6) — card details never reach us. When Paddle confirms a payment, the plan is added to your account automatically; the administrator can also grant plans manually. We store the plan name, date, price, transaction ID and a note. Plans, free extra time and refunds are described in the Terms of Service. The date and version of this policy are shown at the top; we announce significant changes on the site.
